Workflow based Corporate Indenting System.
An approach paper of generic system that would suit the needs of a Corporate .
The Scenario
A corporate head office has its branches in different places. The computers at the branches are physically connected in the LAN to the head office. Employees in the branches and the head office can avail the administration department for various services such as purchase of accessories, booking of hotels and other such facilities. The Administration department in turn has to manage assets, identify best vendor, obtain necessary permissions, procure and deliver the goods.
The Deliverables
¢ Employee in the Head office and the Branches should be able to make requests at their machine by logging into the necessary intranet site and then filling in a suitable form.
¢ The request details should be sent to the necessary hierarchy level for approval.
¢ The request with the necessary approvals should reach the administration department and to the concerned personal (clerk).
¢ The personal (clerk) should have accessibility to a system by which he can verify the assets that are already available.
¢ The personal (clerk) should have accessibility to a system by which he can verify the best vendor from whom the purchase can be made.
¢ The verified form should then travel the hierarchy for approval.
¢ Once approved, the consumables have to delivered.
Infrastructure Required.
¢ A network connected on leased lines
¢ A network that is based on IP addresses
¢ A Web Server that would support Java Servlets.
¢ Internet Explorer or Netscape Browser will be the client.
¢ Oracle would be the database.
¢ The operating system can either be Windows NT or Sun Solaris.
Organization of the Intranet System.
¢ The intranet system will consist of two major parts. The user and the administration part
¢ The user part will address the issues concerning making requests and approving of requests.
¢ The admin part will address the issues concerning creating of various category of users, administering the Assets, vendor list, etc.
¢ The Intranet system will implement workflow of the regular organization procedures.
¢ Security will be implemented at every level so that only authorized persons can login and can request, approve and deliver.
¢ The entire system will work around a database that will store every information to aid the process.
