When it comes to school management, there are two faces to the complexity of how efficiently you manage your school, first how efficiently you manage school’s academic activities, secondly how you can manage your administrative activities, within the available resources i.e, staff and teachers when your school is rapidly growing without overloading your teaching or non-teaching staff with unrelated tasks in their day to day activities. This is one of the main problem that every school has to address at some point when you are growing.
In this blog post we will only focus on one of the main academic activity which involves teachers, parents and management, i.e., students performance evaluation, progress report generation and communication. Progress report generation is based on every student’s scholastic and co-scholastic evaluation. It involves two aspects, firstly teaches have to continuously monitor and evaluate their respective class students in both scholastic and co-scholastic (Part A and Part B subjects in case of State Board) areas by conducting regular tests and exams, which is inline with their primary responsibility of Teaching and evaluating students, as we all agree.
However, most of the time in reality, Teachers also have to spend their precious time preparing the progress report by hand doing all the calculation such as grades, percentages for each and every student which is very tedious and time consuming. Though some of the schools use microsoft excel or spread sheets programs, initially it appears to solve the problem of generating progress report, but at some point this method also becomes unmanageable.
Imagine each and every class teacher spending time with their respective class student’s parent in communication of the same, also management / principal’s involvement in communication and students performance improvement plan discussions in parent teacher meetings. Each and Every time these discussions takes place, you need to have these details communicated in memos, letters, dairies etc., which will not give any body involved in these activities a cumulative view of the evaluation and student’s development plan, information is spread across papers, people and various other mediums. Also, there is barely a historic data that relates past discussion or evaluations to the present and future of student’s performance and improvement plan.
If you automate this problem area of capturing of every students performance or progress information in their raw form into a School Management System, The system will do all the necessary calculations based on the predefined and configurable scholastic or co-scholastic skills or criteria’s and it posts the information into the respective parents dashboard which will be made available online in the Internet. Teaching staff can input their raw evaluation data into the system in their free time regardless of where they are. The online school management system can generate the progress report and generate email / sms to inform the parents instantly when the final data in ready. Parents can access this data on the go from their mobile via SMS and they can also log-in to school management system and access the progress report, various other information such as their children profile, fees etc. They can even contact the principal / respective class teachers to know more about their children’s progress through one to one messages. School can even post messages on the online notice board., This solves all of the problems which we discussed in this blog post about the laborious and repetitive nature of the progress report card data collection, generation and communication.
