The procedure for registration of firms for supply of stores to Diesel Locomotive Works, Varanasi, are detailed below :-

The essence of purchasing is rational source selection. The registration of firms as approved suppliers is done after assessing the capacity and capability of the firms.

·The application forms for registration are available on sale from the registration Section of the office of the Controller of Stores, DLW, Varanasi.


·The cost of application form is fixed as Rs. 100/- and if the application form is required to be sent by post, a sum of Rs. 25/- is to be paid by the firm towards Postal charges. For SSI units registered with NSIC, the application form will be issued free of cost. However the postal charge of Rs. 25.00 only is collected, if the application form is required by post. Automatic registration (provided all the documents are furnished) will be done for SSI units registered with NSIC.


·The application forms completed in all aspects along with supporting documents like Balance sheet for the last three years, Banker�s Cash credit Limit certificate in original, Valid Copy of ISO-9000 certificate etc. are to be submitted in Registration section of the Controller of Stores, DLW, Varanasi. Incomplete application are liable to be Summarily rejected.


·To expedite registration, new firms seeking registration are asked to register with the Zonal Railway covering the place where the firm is situated and then approach DLW for registration with a copy of enlistment issued by the Zonal Railway concerned.


·Dy.CMM/Indg. Recommends the case of vendor for registration to CMM/P for approval, if firm being approved, the vendor is put on the list of registered vendor of DLW by allotting a registration No. The registration will be on provisional basis for one year.


·Monetary limits are carefully fixed, keeping in view of the Banker�s reports, capacity and capability of the firm and other financial information’s indicated in the Balance sheet, Profit and Loss statements.


·For renewal of registration the vendors are required to apply for renewal past performance with DLW is main criteria for the renewal. Vendor are required to apply for renewal of registration along with past performance with DLW for the last three years. If the case is found in order, the same is put to CMM/P for renewal of registration for further two years. It may be noted that it is the responsibility of the firm to get them renewed before the expiry of registration.
