A PROJECT REPORT ON BANCMATE PACS

SYNOPSIS


BancMate uses natural behavior of WINDOWS and has been developed on POWER BUILDER using the CLIENT/SERVER technology and uses Open Data Base Compliance or ODBC technology which gives it freedom to be connected to any data base engine such as ORACLE, SYBASE, MS-SQL, Btrieve or FoxPro. It is Year 2000 compliant (Y2K) carries some very unique and technically updated features:
EASY TO UNDERSTAND: The system works in the language of the bankers and does not rely on the cumbersome procedure of codes which makes it easy for the bankers to understand who are not computer professionals. The procedures followed are the ones mentioned in the banks manuals and the methods followed by them.
CONTEXT SPECIFIC ON-LINE HELP: Help is available from all points specific to that topic. The complete Help is made available with the option to select the topic desired for Help.
ACCOUNT SPECIFIC PARAMETERISATION: The system helps you parameterize options as per the type of Account eg. the system allows you to define Charges separately for Cheque Book Issue for Savings and Cash Credit Accounts. The system does not restrain you from opening more than one type of Savings and Cash Credit Accounts and defining parameters separately for each one of them.
ACCOUNTING:
DOUBLE ENTRY: The system follows the ever reliable Double Entry system of Accounting. It provides for entry of single entry at a time as followed in the banks. It allows for creation of one side of an entry by a user and allows the second user to pass the second side of the entry. For eg. If a withdrawal is to be made in an Account then the two different Clerks shall post the debit and Credit side independent of each other. The system ensures the balancing of individual entry and balancing of books at the end of the day.
ON-LINE TRANSACTION PROCESSING: It is an on-line-transaction-processing system wherein every entry is saved and posted till the final balancing viz., Individual Accounts, Account Heads and Balance Sheet.
SINGLE & CONSOLIDATED VOUCHERS: The system allows for creation of single (where one entry settles another entry) or where many entries are settled against a single entry.


CUSTOMER SERVICE:
SERVICE CHARGES: The bankers can define charges for various options for different Accounts individually.
CHEQUE BOOK: The details of the stock received from the Head Office is maintained and all issues are done as per the next available Cheque Book. The procedure cannot be by passed and the next CHEQUE book cannot be issued. The status of each Cheque with regard to used, unused, lost, stopped for each Cheque Book issued to the Account Holder is maintained.
PASSBOOK: The complete stock of passbooks received from head Office and how they have been distributed is maintained. In case a Passbook could not be updated and is retained then it shall be mentioned so in the system.

SECURITY FEATURES in BancMate
BancMate provides an extensive security network to protect from any unauthorized entry being made into the system. The security is maintained of the DATA as well as in the working of the system.
DATA SECURITY
The Data Bases provide for:
Encryption of Data
Roll back and Roll Forward of Data to protect from Power Failures

The Bank is however; free to select any other Database which they feel best. In such a case the features provided by the Data Base shall be applicable for Data Security.

OTHER SECURITY FEATURES:-
1. USERS & ACCESS RIGHTS
The system provides for defining of VARIOUS user types along with the functions they are allowed to perform in the package i.e. a Clerk can be restricted from making changes in the Account types.
2. PASSWORDS WITH FORCED CHANGING LIMITS
The Users have their passwords to access the package. There is a period after which they are forcefully asked to change their old passwords.
3. DEPOSIT/WITHDRAWAL LIMIT RESTRICTIONS
The users of the banks are allowed to make deposit and withdrawal entries only upto their sanctioned powers. The system allows the users to create and pass Vouchers only upto the individual level allowed to the User Type. This limit can be assigned for individual account behavior like Savings Bank and with specific accounts under that Account Type like from Account No. 1 to 10.
4. AUTHORIZATION OF ALL EXCEPTIONAL TRANSACTIONS
A detailed list of warnings and exceptional work has been prepared. Whenever, an entry is generated violating these levels, the system warns for the same and takes it for Authorization.
The Passwords of both the user who created the entry and the user who cleared the entry are stored with each entry made.
A detailed Exceptional Register for entries Referred and Passed and for Referred and Returned is maintained.
5. AUDIT TRAIL
The user can print the Audit Trail:
• on an on-line basis i.e. with every entry made
• At the end of the day. The user in such case will get the report with entries of a particular type grouped together.

6. CALCULATION AND MAINTENANCE OF CHECKSUM
Checksums is calculated and maintained on an on-line basis. Thus is checked at the time of Day-open. The method of calculating the Check Sum changes automatically every day.
7. MAKER & CHECKER
BancMate works on the concept of all entries, financial or non financial, to go for authorization. The bankers can decide whether they would like the same person to authorize his work or another person to do the same. It is just a parameter change.
8. ALL KINDS OF CHECKS ON TRANSACTIONS
BancMate is comprehensive for it maintains all kinds of links and checks. It maintains all checks on amount, inoperative, dormant, stop and lost cheques, expired and post dated cheques, attachments, stooped operations and even the death of account holder. It refers even where manual errors are located.

UNIQUENESS of BancMate
BancMate is the only application in the country today which can operate on any platform like UNIX, WINDOWS NT, NOVELL NETWORK, OS2, WINDOWS’95 using Open Data Base Connectivity standard thus enabling connectivity to any RDBMS like SYBASE, MS-SQL, BTRIEVE etc. ODBC facilitates usage of BancMate as Standalone (multi-modules on same machine), ALPM, PBA and TBA using small, medium and large data base engines, depending upon the size and requirements of the branch, thus reducing the total-cost-of-ownership and eliminating the needs of retraining the man-power whenever transferred.

It is the only application, which can operate in a Standalone mode and grow to PBA to TBA to Any Where Branch Banking.
This gives the bank the freedom to work on different platforms in different branches for eg. NT and SQL in some branch and Novell and Oracle for another set of branches and UNIX with any backend for a different set of branches.
This uniqueness reduces the cost of ownership of the bank for Bank can decide to have following kinds of branches:

2. Big Urban Branches on TBA
3. Two PC TBA
4. PBA branches.
5. Small single windows branches and Extension counters on TBA

The program remains the same and hence, the staff is not to be trained on different softwares. The data of all these can be consolidated using BancMate and used for different controlling and budgeting procedures.


Feasibility Study:-
A feasibility study is the preliminary study, which investigation the information needs of prospective users and determines the resource requirements, cost, benefits and feasibility of a proposed project.
The goal of feasibility studies is to evaluate alternatives systems and to propose the most feasible and desirable systems for development.

(A) Technical Feasibility:-
Technical feasibility can be determined if reliable hardware and software capable of meeting the needs of a proposed system can be acquired or developed by the business in the required time.
The solution that we choose out of many alternative solutions was technically feasible.

(B) Operational Feasibility:-
Operational feasibility is the willingness and ability of the management to operate, use and support a proposed system. The system that we proposed really satisfied all the end users. Especially our clients and authorities because of its rich GUI interfaces and fast computing ability.

© Economical Feasibility:-
Economical feasibility is concerned with whether expected cost savings, increased profits, and reductions in required investments, and other kinds of benefits will exceed the costs of developing and operating a proposed system.
Our project fulfillment the above criteria when a study was conducted in this regard, as most of the work could now be accomplished at a faster rate and more accurately.



COST/ BENEFIT ANALYSIS:-
In Addition to the positive fulfillment of Economical Feasibility, the cost/benefit analysis that we conducted, gave very positive results to out client. Both tangible and intangible benefits that we sorted out were excellently supporting our project.
• One intangible benefit was it is accurately work.
• One tangible benefit was decrease in information processing costs by eliminating of unnecessary procedures and man power.
